The Challenge
In 2025, Vivid Sydney welcomed Neon Dreams – a retro roller disco diner and skate rink activation like no other. With roller waitresses, a live DJ from a glowing cockpit, nightly performances, and unforgettable nostalgic energy, the activation quickly became a crowd favourite.
CARA PR was engaged as the Partnerships Manager, with a clear brief: source aligned financial and in-kind sponsors to bring this immersive vision to life – sustainably and spectacularly.

-
Offset operational costs with product-based partnerships and strategic support
-
Elevate the activation’s experience with thoughtful, ethical, and exciting integrations

Our Role

Our responsibilities included:
-
Crafting partnership proposals aligned with Trolley’d’s creative and sustainable values
-
Sourcing innovative products and services that elevated the guest experience
-
Securing both financial sponsorships and in-kind contributions
-
Managing ongoing partner communications and ensuring visibility across the activation
Key Sponsorship Wins
Sustainable & Product Sponsors:
-
Impala Skate: Sponsored safety gear and skates for performers and guests
-
The Only Straw Provided compostable and edible drinkware for a zero-waste sipping experience
-
Better Cup Co.: Supplied reusable cups, reinforcing the activation’s low-impact goals
-
Flora Food Group: Sponsored the viral espresso martini soft serve, a vegan treat adored by guests
-
Millsheds Distillery: Supplied spirits for a bespoke cocktail menu featuring native and foraged ingredients
These partnerships didn’t just offset costs – they amplified the creative storytelling and values of the activation.

What We Did
CARA PR led the sponsorship process from initial strategy through to negotiation, activation and post-event reporting.
1. Sponsorship Strategy and Partner Mapping
We translated the activation’s operational needs, creative concept and sustainability goals into clearly defined partnership opportunities.
Potential partners were assessed according to:
-
Alignment with the Neon Dreams audience and experience
-
Capacity to provide meaningful financial or in-kind value
-
Sustainability credentials
-
Opportunities for natural product integration
-
Potential content, media and brand exposure
This allowed us to approach a focused group of brands with a clear commercial reason to participate.
2. Partnership Proposals and Outreach
Rather than sending generic sponsorship requests, CARA PR developed tailored approaches showing each brand exactly where it could fit within the activation.
Every proposal connected the partner’s contribution to tangible benefits, including:
-
Prominent brand visibility
-
Product trial and integration
-
Social and digital exposure
-
Professional content assets
-
Website features and backlinks
-
Sustainability reporting
-
Post-event exposure and engagement data
The conversation moved beyond “Will you sponsor us?” to “Here is how your brand can become part of an experience people will remember.”
3. Negotiation and Value Creation
CARA PR negotiated a combination of product supply, services, discounted inventory and in-kind support.
Five confirmed partnerships generated:
-
Better Cup Co. — $4,055 in reusable cup systems and waste-management support
-
Flora Food Group — $4,600 in vegan soft serve and refrigerated shipping
-
Impala Skate — $19,319 in protective equipment, uniforms and merchandise
-
Millsheds Distillery — $65,224 in complimentary and discounted spirits
-
The Only Straw — $1,700 in sustainable rice straws
-
Total Sponsorship Value: $94,898 + GST
These contributions materially reduced the activation’s operating costs while making the final guest experience stronger.
4. Integrated Sponsor Activation
Partner products were not hidden behind a logo wall.
They were placed directly into the Neon Dreams experience through:
-
Branded uniforms and protective equipment
-
Menus, decals and venue signage
-
Reusable cups and sustainable straws
-
Cocktail and food offerings
-
Digital content and social media
-
Sponsor features and website backlinks
-
Professional photography and videography
This gave sponsors meaningful visibility while keeping every integration relevant to the event.
5. Content, Reporting and Ongoing Value
CARA PR supported the partnerships beyond the initial agreement.
Sponsors received a broader return through:
-
More than 20 promotional social media posts
-
High-quality branded photography and video
-
Product visibility across 28,000+ drinks and venue touchpoints
-
Custom sustainability reporting
-
Post-event exposure and engagement reports
-
Reusable marketing assets featuring their involvement
The goal was not simply to secure contributions. It was to make partners feel that participating in Neon Dreams had been worthwhile.
The Results
6 major sponsorships secured within a six-week window
Full product integration across the bar, diner, and skate experience
